Does CCW Offer Online Therapy Covered by Insurance?
Often, yes. Coverage depends on your specific plan, the service you are seeking, clinician participation, medical-necessity requirements, referrals or authorizations, your physical location, and other benefit rules. CCW can help you understand the next step, but your health plan determines your final benefits.
Insurance participation does not mean every CCW clinician, service, diagnosis, or location is covered under every plan. Couples counseling, group services, specialty services, and care across state lines may have different requirements. Benefits should be verified before care begins.
Military Family Coverage
TRICARE Mental Health Counseling Through CCW
CCW works with TRICARE for eligible mental health services. The exact process depends on your TRICARE plan, beneficiary status, referral or authorization requirements, clinician participation, location, and the type of service requested.
Before Scheduling
Have your current insurance information available so CCW can review clinician and service options that may fit your plan.
Referrals & Authorizations
Some TRICARE plans or services may require a referral or authorization before care begins. Requirements vary.
PCS & Location Changes
A move can affect clinician eligibility, plan rules, and continuity of care. Contact CCW before a PCS whenever possible.
For Veterans
VA Community Care Counseling
CCW is an approved VA Community Care provider. Eligible veterans may be able to receive authorized counseling through VA Community Care when a valid referral and authorization are in place.
- Talk with your VA care team. Ask whether community care may be appropriate for your situation and whether you are eligible for a referral.
- The VA determines eligibility and authorization. The VA, not CCW, decides whether community care is authorized and what services, dates, and number of visits are included.
- Share your authorization details with CCW. Once CCW is listed as the authorized community provider, our team can review the referral and clinician availability.
- Begin care within the authorization. Services must remain within the VA authorization and applicable clinician, location, scheduling, and clinical requirements.
CCW bills authorized VA Community Care services according to the applicable authorization. Any veteran cost-sharing obligations are determined by the VA and are not set by CCW.
Private Pay & Out-of-Network Options
When Your Plan Is Not In Network
If your insurance plan is not listed, you may still have options. Some clients use private pay, Health Savings Account or Flexible Spending Account funds, or out-of-network benefits when their plan allows reimbursement.
Private Pay
Private pay may allow you to access services that are not covered by your plan or to work with a clinician outside your insurance network.
Out-of-Network Benefits
Ask your insurer whether your plan includes out-of-network outpatient mental health benefits and what documentation is required for reimbursement.
Superbills / Receipts
When appropriate, CCW can provide documentation showing the information generally needed for an out-of-network reimbursement claim. Reimbursement is determined by your insurer.
HSA & FSA
Eligible mental health expenses may be payable with HSA or FSA funds. Your plan administrator can confirm whether your specific expense qualifies.
More Choice
Private pay may offer greater flexibility when a service, clinician, or treatment approach is outside your plan’s covered network or benefit structure.
Good Faith Estimate
Clients who are uninsured or choosing not to use insurance may have rights to a Good Faith Estimate of expected charges under applicable federal rules.
Before Your First Appointment
Three Questions to Ask About Your Mental Health Benefits
A few questions can help you understand your plan before counseling begins.
Is This Clinician In Network?
Network participation can vary by clinician, plan, location, and service. Confirm the specific provider when possible.
Do I Need a Referral or Authorization?
Ask whether outpatient mental health treatment requires prior authorization, a referral, or other plan approval.
What Will I Owe?
Ask about deductible status, copayment, coinsurance, out-of-network benefits, and any service-specific limitations.
Location Matters
Insurance Coverage and Telehealth Eligibility Are Not the Same Thing
Even when your plan covers mental health care, CCW must also confirm that an appropriate clinician is legally authorized to provide care where you are physically located at the time of the session.
CCW provides virtual counseling across ten U.S. jurisdictions, including Hawaii and Washington, DC. Availability depends on clinician licensure or authorization, your physical location, insurance participation, referral or authorization requirements, current availability, and clinical fit.
Germany Expansion
Supporting Eligible U.S. Military-Connected Communities Abroad
CCW’s Germany expansion is launching Fall 2026, extending our military-informed virtual counseling model to eligible U.S. military-connected communities abroad.
Availability remains subject to applicable professional practice requirements, clinician authorization, payer credentialing, eligibility, insurance or private-pay arrangements, and clinical appropriateness.
Payment & Scheduling
A Few Practical Details Before Care Begins
Payment
CCW accepts major credit cards for applicable client payment responsibilities and private-pay services.
Cancellation / No-Show Policy
Fees may apply when a scheduled therapy appointment is missed or canceled without the notice required by CCW’s current practice policy.
Benefits Can Change
Insurance benefits, network status, referrals, authorizations, deductibles, and cost sharing can change. Current benefits should be verified when needed.
